Appointment & Refund Policy

At Full Circle Wellness, we are dedicated to providing exceptional care in a respectful and professional environment. These policies ensure fairness, protect valuable appointment times, and maintain the highest standard of service for all clients.

We understand that schedules can change, and we ask that you provide as much notice as possible when rescheduling or cancelling an appointment.

Cancellations made more than 48 hours in advance:

No charge. Payments already made will be fully refunded.

Cancellations made 48–24 hours before your appointment:

50% of the session fee will be charged.

Cancellations made within 24 hours (0–24 hours):

The full session fee will be charged. A secure payment link will be sent to the email or phone number on file. No refunds will be issued.

Missed appointments (no-shows):

The full session fee will be charged. A secure payment link will be automatically sent to the email or phone number on file.

Appointments are considered a no-show if you arrive more than 15 minutes late.

Late Arrival Policy

Clients are asked to arrive 5–10 minutes early for each appointment to allow time for check-in and preparation.

If you arrive late, your session will still end at the originally scheduled time. The full session fee still applies.

If you arrive more than 15 minutes late, your appointment is considered a no-show and the full session fee will be charged.

Discount & Promotion Policy

Clients may purchase unlimited discounted or promotional sessions.

All discounted and promotional sessions are final sale — no refunds.

Promotional sessions may be transferred to one other person, but cannot be converted into gift certificates.

One reschedule is allowed with 48+ hours’ notice.

Missed appointments or late cancellations (under 48 hours) will result in the full session fee being forfeited.

Black Friday Policy

All Black Friday specials must be prepaid in full at the time of purchase.

Black Friday specials are final sale — no refunds.

Clients may purchase multiple Black Friday specials.

Black Friday specials are transferable to one other person, but cannot be converted into gift certificates.

One reschedule is allowed with 48+ hours’ notice.

Missed appointments or late cancellations (under 48 hours) will result in the full session fee being forfeited.

Gift Certificate Terms & Conditions (BC + Canada Compliant)

• All gift certificates are tax-exempt at the time of purchase.
• GST is charged only when the service is redeemed, as required by Canadian law.
• Gift certificates hold monetary value equal to the exact amount paid.
• Gift certificates do not expire under BC consumer law.
• Gift certificates are non-refundable and not redeemable for cash.
• A gift certificate may be used for the specific service purchased or applied as dollar value toward any other service at Full Circle Wellness.
• Physical gift certificates are available for in-store pickup only and are not emailed or digitally delivered.
• If a physical certificate is not picked up, the credit remains securely stored on the client’s account.
• May not be combined with other promotions unless explicitly stated.

Special Event Reservation Policy

A non-refundable reservation fee (when required) is used to hold your spot for special events.

Reservation fees are non-transferable and non-refundable.

Refund Process

Refunds, when applicable, will be issued to the original method of payment within 7–10 business days, depending on your bank or card provider.

Privacy Policy

Full Circle Wellness is committed to protecting your privacy and personal information. We comply with British Columbia’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Collection of Information

We collect only the information necessary to:

• Book and manage your appointments

• Process payments and refunds

• Communicate with you regarding services (with your consent)

Use and Disclosure

Your information will only be used for the purposes listed above and will never be sold, traded, or disclosed to third parties without your consent, except where required by law.

Data Security

We use secure systems, password protection, and limited staff access to protect your personal information.

Confidentiality

All health, wellness, and personal information you share with Full Circle Wellness is treated as strictly confidential.

Your Rights

You may request access to, correction of, or deletion of your personal information at any time by contacting us at (250) 427-8216.

Zero-Tolerance Policy

Full Circle Wellness is a strictly non-sexual practice. Any form of sexual conduct, innuendo, or inappropriate behavior toward the practitioner will not be tolerated.

The practitioner reserves the right to immediately end the session without refund, permanently ban the client, and report the individual to the RCMP immediately.
